Why You Need to Keep Your Pharmacy Information Updated (And How to Do It)
Like any business, physical or operational changes to a pharmacy may be necessary from time to time in order to meet the needs of the patients it serves. These changes must be reported to the College in accordance with the Pharmacy Operations and Drug Scheduling Act (PODSA), the Pharmacy Operations General Regulation, and the College’s bylaws.
Under section 3(c) and 18(2)(cc) of PODSA, the pharmacy manager is responsible for the actual management and operation of the pharmacy, including reporting changes of operational information previously provided to the College. The College uses this self-reported pharmacy information for administrating College activities, including but not limited to practice reviews, inspections or investigations.
Importance of Accurate Operational Information for Practice ReviewsThe College’s Practice Review Program (PRP) relies on operational information to schedule and coordinate reviews. The reported information is used by the College to determine which registrants and pharmacy services need to be reviewed, as well as how to notify selected registrants of their upcoming review (i.e. correct email address). The information is also needed to ensure the College can determine a sufficient amount of time for the Compliance Officer to review the pharmacy, schedule registrants and any additional services that are being provided, within the pharmacy hours declared. Ensuring that the operational information is kept up-to-date and accurate will ultimately help ensure that registrants’ experience with the PRP scheduling and review process are as seamless as possible. |
Updating Pharmacy Operational Information
Most changes to a pharmacy’s operation information can be updated by the pharmacy manager through the Pharmacy Portal on the College’s secure eServices website.
Updating Operational Information through eServices
1. Under the Profile tab, update the pharmacy’s email address and website.
2. Under the Staff tab, update the staff roster (i.e. who works at your pharmacy).
3. Under the Services tab, update the pharmacy’s hours of operation, lock-and-leave hours, and types of services provided by, or at your pharmacy. If your pharmacy provides any of the following services, they must be reported in eServices:
a. Opioid Agonist Treatment (Methadone, Slow Release Oral Morphine, Buprenorphine/Naloxone and/or Injectable Opioid Agonist);
b. Compounding (Non-sterile Preparations, Non-Hazardous Sterile Preparations and/or Hazardous Sterile Preparations);
c. Other Community Pharmacy Services such as Injection and Intranasal Drug Administration, No Public Access, and/or Internet Pharmacy.
d. Other Hospital Pharmacy Services such as Outpatient and/or Servicing Satellite(s).
e. Residential Care Services – if your pharmacy provides residential care services, provide the facility name(s) and other information.
f. Centralized prescription processing services – if your pharmacy processes/prepares prescriptions or drugs orders for another pharmacy(ies), provide the pharmacy name(s).
g. Outsourced prescription processing services – if your pharmacy receives prescriptions or drug orders processed/prepared by another pharmacy(ies), you must contact the pharmacy manager at the other pharmacy(ies) to add your pharmacy name to their list of ‘Centralized Prescription Processing services’ on eServices.
Please note that this relationship can only be created on eServices by the pharmacy manager providing the centralized prescription processing service.
Phone/Fax Number Updates
Updates to a pharmacy’s phone number or fax number must be submitted via email to the College’s Licensure Department.
Change of Address
Changes to a pharmacy’s address must be submitted as part of a Change of Location application prior to the move date.
